How it works

What happens after a homeowner raises a hand should never depend on who is free.

See how the three connected systems bring a homeowner from a project search to your estimator’s calendar: demand creates the inquiry, creative makes the work clear, and the Close Desk handles the conversation and follow-up.

01Operating cycle

Build & Connect, Launch, Optimize, Scale, 90-Day Review.

We connect campaigns, project pages, tracking and the Close Desk before demand goes live. The first 90 days are an initial optimization cycle—not a waiting period—used to review lead quality, booking, attendance and cost per qualified estimate.

  1. 01

    Build & Connect

Campaigns, pages, tracking, CRM and Close Desk scripts are prepared around your trade, service area and available capacity.

    • Operating plan: trades, area, capacity, coverage hours, targets
    • Qualification criteria you sign off
    • Tracking, CRM stages and source stamping
    • Campaign pages, first creative and Close Desk scripts
  2. 02

    Launch

Demand goes live and qualified inquiries begin moving through the booking process.

    • Campaigns on, paced to attendable capacity
    • Estimate appointments booked and confirmed
    • Review of the source-to-appointment record on the agreed cadence
    • Early fixes to pages, scripts and routing
  3. 03

    Optimize

We adjust targeting, creative, qualification and follow-up using real appointment data.

    • Creative and formats that earn inquiries expanded
    • Qualification tightened where estimator time is being wasted
    • Follow-up and reactivation sequences live
    • Definitions and reporting checked against the record
  4. 04

    Scale

Budget and effort move toward the sources producing the strongest attended-estimate economics.

    • Budget shifted by attended-appointment cost, not click cost
    • Channel mix widened where capacity allows
    • Coverage hours and Close Desk scope revisited
    • Capacity checked before any increase
  5. 05

    90-Day Review

We compare performance with the targets established before launch and define the next growth cycle.

    • Performance against the written targets
    • Cost per qualified and per attended appointment by source
    • Capacity, scope and budget decisions for the next period
    • Documented state of every asset and account

The 90-day period is the program’s initial operating cycle. Appointment targets are established and measured during that period, while contract terms and any performance commitments are defined separately in the operating agreement.

02Response sequence

The first hour decides a large share of the month.

This is the shape of the default sequence. Timings, coverage hours and attempt counts are adjusted per trade and per account, then written into the operating plan.

  1. 01Inquiry landsRecorded with its sourceA form, call, chat or message is written to the CRM with source, campaign and job type attached, so the appointment it may become can be traced back.
  2. 02Moments laterAutomated acknowledgementThe homeowner gets an immediate reply confirming a person is coming, so the wait is not silence.
  3. 03First touchThe Close Desk callsIf there is no answer, a text with a booking link follows straight away.
  4. 04Follow-on attemptsRepeat contact while intent is highFurther calls and a different channel before the inquiry ages out of its highest-intent window. The exact timings are set per account.
  5. 05First weekStructured pursuitA written cadence of calls, texts and emails, not whoever remembers.
  6. 06OngoingLong-cycle nurtureUnbooked but qualified homeowners move to scheduled contact until they book, decline or ask to stop.

03Automation versus people

Machines confirm. People qualify.

Automated

Speed, reminders and records

Instant acknowledgement, booking links, confirmation sequences, reminders, reactivation campaigns, data capture and reporting. Anything that must happen identically every time.

Human

Judgement and commitment

Qualification against written criteria, handling objections, deciding urgency, agreeing a slot, and knowing when a homeowner should not be booked at all.

04Stage by stage

Ownership and measurement at every stage.

Select a stage to see what happens, who owns it and how it is measured.

Demand

Continuous

Paid media, local search and social demand put your offer in front of people who are already looking for the work you sell, inside the area your crews can actually cover.

Qualification
Targeting is written against service area, project type and capacity before a dollar is spent.
Owned by
Demand Engine. Ownership and access for ad accounts, listings and tracking are documented before launch.
Measured as
Impressions, cost per inquiry, and inquiry volume by source and campaign.

05Qualification logic

Written criteria, applied consistently.

Gates
Service area, service type, ownership or decision authority. Failing a gate ends the qualification: the record stays, but it never becomes an appointment.
Scored inputs
Timing, economics and readiness. These do not disqualify; they change the cadence and which offer is presented.
Versioning
When criteria change, the change is dated. Reports state which version produced which period, so trends are not corrupted by a silent redefinition.
Review
Recorded calls are sampled against the script and the criteria on the cadence agreed in the operating plan, and disputed records are reviewed together.

06Booking, confirmation and recovery

Getting the slot is half the job.

01

Booking

The Close Desk writes directly into your calendar with address, scope notes, qualification answers and source. Estimators arrive knowing what they are walking into.

02

Confirmation

Reminders ahead of the appointment, each offering a simple reschedule. Moving an appointment is far better business than a silent no-show.

03

No-show recovery

Missed appointments are worked promptly with a defined number of attempts before the opportunity returns to nurture.

04

Long-term follow-up

Quoted-not-sold, stalled claims and seasonal projects sit on scheduled contact until there is a decision either way.

07Tracking, data and assets

Everything is recorded where you can check it.

Source tracking
Source and campaign are stamped at inquiry creation and carried through to booked and attended appointments, so channel performance is judged on appointments rather than clicks.
Call recording
Calls are recorded and stored subject to applicable consent requirements in your jurisdiction, and are available to you for review.
Ownership
Ownership, access, retention and handover for ad accounts, website, CRM, phone system and reporting are documented in the operating plan before launch.
Offboarding
A documented handover: access confirmed, automations documented, scripts and criteria handed over, and campaigns either transferred or paused on your instruction.

08Limits

Where this system does not help.

  • 01If your team cannot attend the appointments produced, more demand makes the numbers worse, not better.
  • 02If your pricing is far outside your market, better appointments will surface the problem faster rather than solve it.
  • 03If quality or scheduling problems are generating complaints, acquisition amplifies them.
  • 04If the economics of a job cannot support paid acquisition, no operating system fixes the arithmetic.
  • 05If nobody on your side can make decisions on the agreed review cadence, optimisation stalls regardless of what the data shows.
